Trucking regulations can be a pain sometimes, with legal requirements and compliance standards that can vary by jurisdiction and vehicle type. I’ve worked with companies that use fleets in their business that have come to me and asked me to get their DOT numbers for them. The reason is that in most cases, these DOT workers don’t have time to do all the paperwork or may not know how to do it.
I wrote this guide to make things easier for you and anyone else who is reading up on the world of DOT. I’m going to dive deep into each step of the DOT number registration process, equipping you with the knowledge and confidence to ensure compliance and legality in your trucking operations.
Follow these nine steps and you’ll be on the road in no time with your new DOT number.
Step 1: Determine Your Need
Before jumping into the details of DOT number registration, it’s important to know whether your operations need one or not. You could be just a driver that owns your truck and just use it for general things on your property. But you might have a few fleets where you do contract work on the side and haul across your state or even state lines. The Department of Transportation (DOT) mandates a DOT number if your activities meet certain criteria. This includes operating a commercial vehicle with a gross vehicle weight rating (GVWR) or gross combination weight rating (GCWR) exceeding 10,001 pounds, transporting hazardous materials requiring placarding, or ferrying more than 16 passengers (including the driver) for compensation. These criteria serve as the threshold determining your need to obtain a DOT number, ensuring compliance with federal regulations administered by the Federal Motor Carrier Safety Administration (FMCSA).
So, it’s pretty clear. My best guess is that if you’re reading this, then you might need a DOT number. Lol. We’re not done yet! You’ll need some more information to get you started.

The details you’re going to need before you get started are your business’s legal name and physical address, contact information, the nature of your operations (interstate or intrastate), the size of your fleet, and specific vehicle details including make, model, Vehicle Identification Number (VIN), and GVWR.
Make a note somewhere and write these down so you don’t forget what details you’re going to need. Trust me you don’t want to miss any because it will create extra headaches for you when filling out your application.
Step 3: Access the FMCSA Portal
The next thing you will want to do is access the FMCSA’s online portal. The FMCSA serves as the regulatory body overseeing commercial vehicle operations and safety standards in the United States. They are the ones that make all the regulations and rules of the road. And for them, the first thing you need before attempting to get on the road is to have a DOT number. Which is why I wrote this guide!
Now, navigating to the FMCSA portal provides you with the platform to initiate your DOT number application. If you haven’t previously created an account, you’ll need to do so to proceed with the registration process.
Step 4: Start the Application
With access to the FMCSA portal, the next step entails initiating your DOT number application. Within the portal, navigate to the designated section for applying for a USDOT Number. This will start the process where you’ll provide the information I talked about earlier to fulfill regulatory requirements. This step is pretty straightforward forward and as I mentioned before, make sure you have all the information you’re going to need.
If you have multiple trucks in your fleet, you’re going to need the details for all of your trucks as well.
Step 5: Complete the Application
It’s really important to be thorough and accurate when finishing your application. Make sure everything is filled out correctly with the information you have gathered. You’ll also want to make sure that all details are current and precise to help you mitigate the risk of delays or complications during the processing phase. I can’t stress the last part enough.
Nobody likes to face delays and if you’re a business that means that you’ll want every one of your trucks on the road safely and with a DOT number.
Step 6: Pay the Fee
Securing a DOT number typically requires a fee, which can vary depending on various factors such as the type of operation and the number of vehicles in your fleet. I know I wish it was FREE, trust me. However, payment is commonly facilitated through the FMCSA portal, where you’ll be prompted to provide payment information securely. Upon successful payment, your application progresses to the next stage of processing. Once you are at this step, you’re close to receiving your DOT number!
Step 7: Receive Your DOT Number
Ok, now that you have filled out your application and paid the fees associated then you’ll receive your DOT number. This alphanumeric identifier serves as a unique marker for your commercial vehicle operations and is essential for regulatory compliance. Without it, you won’t be able to hit the road. Safeguard your DOT number, as it will be needed for various regulatory procedures and documentation requirements. Also, be sure to let your team know about your DOT number and your drivers so they all have it on hand. This will help you out in the long run.
Step 8: Display Your DOT Number
It’s time to wear that DOT number loud and proud. Proper display of your DOT number is important to adhere to regulatory standards. The FMCSA has specific guidelines and requirements on where the placement and formatting of DOT numbers is on your commercial vehicles. You have to follow these guidelines and make sure that it’s visible and easy to read. I’m sure you have seen other trucks on the road and the one thing that usually stands out is the DOT number. You will usually see this in big black bold numbers.
