This is where we come in to answer any questions you might have. Then go over 1-2 driver files. your drug and alcohol policy. 1-2 vehicle maintenance files. A small portion of your Hours of Service (HOS).

Pretty much making sure you are on the right track.

I’ll bet you think Dan this sounds great, but how much does that cost?

That’s always the first question I get when I bring up a micro audit.

The answer might shock you.

Here’s why I recommend bringing us in for a micro audit.

First thing is that when you bring in a third party (someone who isn’t in your company) their opinion is usually non-biased.

We all know that when we audit our own files, we have a tendency to be more tolerant. We don’t dig as deep as someone who doesn’t have skin in the game.

I was just visiting an amazing company.  They had some stellar systems in place.

What we found in the micro audit was that even with all the systems they still had a few minor things to fix.

Like we found a few dates we’re missing from maintenance logs. Nothing big at all. But in their previous internal audit, those small items were overlooked.

The second is that regulation changes. CONSTANTLY!

This one company had us go to Houston for an independent audit. We took 5 days combing through everything. I mean EVERYTHING!! We hit every driver file from top to bottom. We covered every single vehicle maintenance file from cover to cover. We looked through the past 6 months of logs for every driver and verified they were accurate with the supporting documents. We had multiple meetings with them almost every day we were there.

This was one through an audit.

One night as we went out to dinner, I asked the operations manager why they weren’t utilizing this one exemption.

He told me they didn’t qualify for it.

Then when we got back to the hotel, we sat in the lobby at the lounge chilling before we headed up the room for the night. I pulled up the regulation and showed him that they changed about 6 months before our audit, and this would fit their situation perfectly.

He was shocked.

After catching his breath, he looked over at me and said, “you just saved us 250k annually, easy!!”

What a great feeling for me, to be part of the solution that helped this company go from surviving to thriving.

The next day he asked us if we would pitch the exemption to their leadership team. So we did.

They decided right then and there to make the switch.

You see they all knew the old exemption, but had no idea it had changed.

The third reason is that we don’t make you feel incompetent or stupid.

DOT is brutal. I mean stupid brutal. And let me tell you that I guarantee that you are harder on yourself than we’ll ever be.

So, there is no reason anyone on our team should ever make you feel like you don’t know what’s going on.

The fourth reason is that you don’t know what you don’t know.

Here’s what I mean.

If you don’t know that a driver’s application has to have 3 years of previous address and 10 years of previous employment (for CDL drivers just 3 years for non-CDL CMV drivers) then how can you know that you have to look for that specifically?

Since our team is immersed in this realm, we have a grasp on the minor details that make a huge difference.

Then when we find somewhere that you can improve, we let you know.

Hey, these files look great, but if you really need to have the company name and address on top of the application. Oh yeah, you should also put an expiration date on your clearinghouse release. Other than that, they look amazing.
